How many lessons does this student have left? Seven states, and the rule that moved each lesson

This page sorts a private student's lesson package into the seven states a lesson in it can be in: taught at its scheduled time, taught as a make-up, still owed as a make-up, unscheduled and free to book, forfeited by your make-up rule or its cap, forfeited by your no-notice rule, or lapsed with the package. The seven add back to the lessons bought, every time, and the rule that moved each lesson is printed beside it. Nothing you type leaves your browser, and nothing here asks for a student's name.

This page is arithmetic on figures you type and on rules you set. It never says what a studio policy ought to be, and it prints no figure in money anywhere in the tally: no price, no income, no invoice, no tax. One figure in money does appear on this page, the price of the kit inside the block at the foot of the page that offers it; it is not a lesson figure and no count here is worked from it. It makes no comparison with any studio application. It says nothing about a student, a student's progress or a student's practice, and it keeps no record: it holds one package of lessons while the tab is open and forgets it when the tab closes.

The walkthrough is on. Each section says what its figures mean and who holds them. Turn it off at the top once you know your way around. The figures in the blanks are a worked example so the page answers before you touch it; replace them with your own. While part of the page is your package and part of it is still the example, the four figures at the top print nothing and say which sections are still the example, because a count worked from your package and a stranger's rules is not an answer about your student.

Every figure here is this page's own worked example: section A, section B and section C all hold the figures the page ships with, so these four lines answer for a package that is not yours. Type yours over them.

The student and the package

Two fields, both off the package the family bought. The label is for your own recognition only. This page asks for no student's name, stores nothing, and sends nothing you type anywhere, because a private student is often a child and a record about a child is a record about a child wherever it is kept. What the page does send is four aggregate counts about itself and the host name of the site you arrived from, set out in full at the foot of the page.

Student label
Whatever you call this slot in your own head: a letter, a day, a time. Leave it blank if you would rather. Nothing sends it and nothing keeps it, and the label reaches no arithmetic. One thing on this page does read it: your label is compared with the worked example's, which is how the page knows this sheet is yours instead of the example's. Typing one is still an edit to section A, so from that keystroke the figures at the top of the page wait for your own section B and section C.
Lessons bought in the package
The number of lessons the family paid for in this block, off your own invoice or booking note. One package per sheet; a second package is a second sheet.
Student label for your recognition, never a name
Lessons bought in the package whole lessons

The rules you set

Five rules and two week counts, all of them yours. Three of the rules are boundaries between the seven states on their own: change the make-up rule, the cap or the no-show rule, and lessons move between the owed, the unscheduled and the two forfeited rows while every figure you typed stays exactly as typed. One thing stops all three: the column each one reads. The make-up rule and the cap read the cancellations that carried your notice period of warning, the no-show rule reads the ones that did not, and a rule whose column is empty moves no lesson at all, which the rule cells in the table say row by row when it happens - so a register with no cancellation logged in it moves nothing whatever you set these three to. The expiry window and the two week counts reach the lapsed row only together: set a window, count weeks past it, and every lesson still owed and every lesson still unscheduled lapses with the package. Two separate things can stop a week count moving a lesson. A window set to nothing switches expiry off for good, so no count of weeks moves a single lesson after that. And a package whose weeks elapsed have not yet run past its window loses nothing to expiry whatever the window is, which is where the shipped example sits: one more holiday break on the example widens its window and moves no lesson, because the weeks elapsed had not reached the old window either. The notice period is the one rule here that moves no lesson by itself: it decides which of the two cancellation columns in section C a cancellation belongs in, and you type that split yourself. The page asserts no rule of its own and recommends none.

Notice period
How much warning a cancellation has to carry to count as a cancellation with notice. Whole hours, from your own terms. It is the rule that sorts your cancellations into the two columns and it changes nothing else.
A cancellation with notice earns a make-up
Your own terms again. If it does not, those lessons forfeit, and the table says so in the row that holds them.
Make-up cap
The most make-ups you allow in one package, in whole make-ups to a limit of 20. Set it to the most make-ups your own terms could ever owe in one package for no cap in practice, or to nothing for a studio that offers none. A package long enough to want a great many make-ups will reach the limit of this field, so no cap in practice means the figure your own terms can reach, never the package size.
A cancellation without notice consumes a lesson
Whether a no-show costs the family the lesson. This is the rule with money behind it, and it is the one rule the page will not guess for you.
Expiry window, holiday breaks and weeks elapsed
How long the package stays open, which breaks extend it, and how many weeks have passed since it started. Three break slots in no particular order, because a teaching year carries several breaks and your terms may name two of them; put any break in any slot, leave the ones you do not use at nothing, and the page adds up the rest. Set the expiry window to nothing for a package that never expires.
Notice period whole hours of warning
A cancellation with notice earns a make-up
Make-up cap for this package whole make-ups
A cancellation without notice consumes a lesson
Expiry window whole weeks; nothing means no expiry
Holiday weeks that extend it whole weeks
A second break, if your terms name one whole weeks
A third break whole weeks
Weeks elapsed since the package started whole weeks

Your own register: two totals and two splits

Two running totals a teacher keeps, and two splits of them that many teachers do not. Each split has its own line beside it saying what leaving it at nothing does to the figures: the first leaves your balance and your forfeited and lapsed rows exactly as they were and moves two splits inside them, one of which is a figure at the top of this page; the second moves the balance itself, which is the one your policy treats differently. The page says which is which instead of pretending they are alike.

Lessons already used
Lessons taught at their scheduled time plus any make-up you have already given. The one running total almost every register holds.
Of those, make-ups already given
How many of the used lessons were make-ups instead of lessons at their own slot. Leave it at nothing if your register does not tag them; the line beside the field says exactly what that costs.
Cancellations in this package
Lessons this student did not attend, whatever the reason and whatever the warning. The other total a register holds.
Of those, with less warning than your notice period
The split your notice period decides. This one does move the balance, so the page prints what one more cancellation in it would do instead of choosing the split for you.
Lessons already used taught at their slot, plus make-ups given
Of those, make-ups already given whole lessons

If your register keeps one running total of lessons used and does not record which of them were make-ups, leave this at 0. The balance, both forfeited rows and the lapsed row are the same number either way; only the split between lessons taught at their scheduled time and lessons taught as a make-up, and the split between make-ups still owed and lessons unscheduled, moves.

Cancellations in this package lessons not attended
Of those, with less warning than your notice period whole lessons

If you kept one cancellations count and did not record how much warning each one came with, enter 0 here. The page then prints, beside the no-notice row, how many lessons one more cancellation in this column would change your balance by under your own rules, so you can see the size of the split before you make it; the page will not make it for you, because it is the one thing your policy treats differently.

The seven states of a lesson

One row per state, with the count of lessons in it and, in a cell of its own, the rule that put it there. The total row is the package you typed, exactly, in every state of every sweep this page's test suite runs. Nothing here is a figure in money and no row is an opinion about your terms.

This arithmetic written out for anything that reads this page instead of looking at it: api.json beside this page carries every input, every output, the formula line by line, this worked example, and a list of what the calculation deliberately leaves out.

E

The balance, with the working shown

The balance shown is lessons bought less lessons taken less make-ups used, under the rules you set on this page, with the working shown.

Your lessons-taken total already carries the make-ups you have given inside it, so no lesson is counted twice here; the three rows that follow are what the rules you set take out of the package - the no-notice rule, the make-up rule with its cap, and expiry.

F

Words that come up

Package
A block of lessons a family pays for in advance. One package per sheet; its size is the figure every state on this page adds back to.
Lessons already used
Lessons taught at their scheduled time plus make-ups already given. One typed total, which is why the split of it changes no balance.
Cancellation with notice
A lesson the student did not attend, carrying your notice period of warning or more. Computed here as your cancellations count without the no-notice ones, never typed.
Cancellation without notice
The rest of them: the no-shows and the late calls. The one split on this page that moves the balance.
Make-up owed
A lesson your own terms entitle the family to rebook, after your cap, that you have not yet taught.
Forfeited
A lesson one of your rules has closed: your cap refused the make-up, your terms earn no make-up for a cancellation with notice, or a no-show consumed it. Forfeited lessons are used lessons for the share this page prints.
Lapsed
A lesson still owed or still unscheduled when the window closed. Set the expiry window to nothing and no lesson lapses. Lapsed lessons, like forfeited ones, are used lessons for the share this page prints.
The window
Your expiry window plus the holiday weeks that extend it, in whole weeks. The package lapses once the weeks elapsed pass it.
The balance
What is still to come: make-ups still owed plus lessons unscheduled. It is the figure a disputed make-up argues about, which is the whole reason this page exists.
The figures print with it. No figures are sent anywhere and nothing is saved except whether the walkthrough is on.

The ledger this page cannot keep

This page sorts one package and forgets it when you close the tab. What it cannot do is hold your whole studio: twenty students, each on their own package, each with a different history of cancellations, and a policy you wrote once that now has to hold for all of them.

The kit is two files, for one price, yours to keep:
